Job Description:

The Assistant will provide administrative support to the J/TIP Office International Programs (IP) Section, the Senior Coordinator and Deputy Senior Coordinator for IP, and Grants Officer Representatives (GORs) as needed. The Program Assistant may also provide support to other Team members within the IP Section, and act as a back-up for other J/TIP Office Program Assistants as needed.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Leads on all administrative matters in preparation for review panels (e.g., schedules panels). Takes detailed meeting minutes and compiles panel review outcomes. Assists in the preparation of proposal presentations to the Ambassador-at-Large to Monitor and Combat Trafficking in Persons, and other Front Office personnel
  • Compiles project summary information and prepares Foreign Assistance (F) Bureau decision memoranda; circulates for clearance and tracks clearances
  • Engages closely with TIP Office colleagues on the necessary steps to obtain foreign assistance resources, including a variety of Department and Congressionally-mandated processes (e.g., annually Operational Plans and Congressional Notifications). Specially liaises with the IP colleagues and leads on drafting and clearing all Congressional Notifications.
  • Drafts new award cables; maintains and updates an internal database of key grant characteristics
  • Coordinates with relevant U.S. embassies, Department regional bureaus, and J/TIP Office IP and Reports and Political Affairs staff regarding T&TA requests, planning, and implementation
  • Gathers quantitative programmatic data based on quarterly progress reports; final program reports. Inputs common performance indicators and other data into internal database. Assists IP Team members as needed on data calls and requests for information. Reviews cables, Interagency Project Notifications, and TIP News Roundups for relevant information and disseminates summaries to appropriate Team members. Assists with collecting information for evaluation of closed/ended grants.
  • Using the approved programming strategies, prepares funding solicitations/Request for Proposals, working closely with IP colleagues to incorporate edits
  • Coordinates with J/TIP Office Reports and Political Affairs, Public Engagement, and Resource Management and Planning personnel; and other Department of State and interagency colleagues to arrange planning meetings and consultations.

Education and Experience

  • Bachelor’s degree; 1-2 years’ experience related to human trafficking, criminal justice, rule of law, international affairs, or international grants management
  • SECRET clearance required
